Our Commitment to Your Privacy

Phoenix Grove Systems™ is built on principles of transparency, consent, and respect for individual privacy. This policy explains what we collect, why, how long we keep it, who processes it on our behalf, and the rights you have. We have tried to write it so that it is actually readable.

Who we are (data controller): Phoenix Grove Systems LLC, a Massachusetts limited liability company. For all privacy questions and requests: architect@pgsgroveinternal.com.

Scope: This policy covers our website (www.pgsgrove.com), the Phoenix Grove Wiki™, PGS AI, the Memory Chip Forge, the AI Seed Library, and the United Bias Healing Library (UBHL).

The Short Version

  • We do not sell your personal information.

  • We do not sell your conversations, and we do not use your PGS AI conversations to train AI models.

  • The Memory Chip Forge processes your data locally in your browser; your conversations never reach our servers.

  • PGS AI stores your conversations and memory data so the product can work; a small set of authorized humans can review conversations only in specific circumstances described below.

  • Our marketing website uses advertising cookies (Reddit, Google, X, LinkedIn) for ad measurement and retargeting. This tracking never touches PGS AI conversations or Memory Chip content, and you can opt out.

  • You can request access to or deletion of your data at any time.

1. What We Collect

1.1 PGS AI

When you create an account and use PGS AI, we collect and store:

Account information: Email address, display name, authentication credentials, subscription tier, and account settings.

Conversations: The messages you send and the AI responses you receive are stored in association with your account. This is what allows your conversations to persist across sessions.

Memory and personalization data: PGS AI includes a persistent, evolving memory system. To provide it, we store derived data from your conversations, including memory summaries, semantic embeddings (mathematical representations of conversation content used for retrieval and for features such as the Mind Constellation visualization), and organizational metadata. This data exists to serve you within your own account; it is never shared across users.

Payment information: Payments are processed by Stripe. We do not store full card numbers. We receive and retain transaction records, billing country, subscription status, and payment-method metadata (such as card brand and last four digits).

Usage, security, and compliance data: Log data including IP address, browser and device information, timestamps, feature usage, and safety-system events. We use this to operate the Service, secure it against abuse, and comply with the geographic and sanctions restrictions described in our Terms of Service.

Reports and support: If you use the in-app "Report a Concern" function or contact support, we collect the content of your report or request and relevant context, which may include the reported conversation excerpt.

1.2 Memory Chip Forge

The Memory Chip Forge processes all data locally in your browser. Your uploaded conversation files and generated Memory Chips are never transmitted to or stored on our servers, and we cannot see them. For security purposes, we log which domains access the service to prevent unauthorized use; this logging does not include your conversation content or personal information.

1.3 AI Seed Library

We collect account, membership, and billing information for Seed Library members (handled as described in 1.1 for accounts and payments). We do not collect or have any visibility into your conversations or outputs generated using Seeds with third-party AI systems.

1.4 Contact Form and Email

When you reach out via our contact form or email, we collect your name (if provided), email address, message content, and time and date of submission.

1.5 United Bias Healing Library (UBHL) Submissions

When you choose to share a story via UBHL, we collect only the narrative content you submit in the form. The submission system is designed for anonymity:

  • The form does not ask for and does not store your name, email address, or account identifiers with your submission.

  • We do not store IP addresses or identifying metadata alongside submissions, and submissions are kept separate from account and analytics systems.

  • Submissions are anonymized before review, filtering, or aggregation.

An honest caveat: No internet-connected system can guarantee absolute unlinkability. Standard infrastructure providers (hosting, network security) maintain routine network-level logs that we do not control or join to submissions. The strongest protection is the one you control: do not include your name, location, or other identifying details in the story itself. We also encourage privacy tools such as a reputable VPN if you want additional network-level protection.

By submitting a story, you agree that your words may be reviewed by human and AI systems for safety and integrity; used to generate anonymized insights or examples for ethical AI development; included in public reports or training datasets; and used in the future for educational, research, or commercial purposes in aggregated and anonymized form only. Raw stories will never be sold or shared in an identifiable format.

1.6 Website Visits, Cookies, and Advertising

Our website platform (Squarespace) uses cookies necessary for basic site functionality and performance.

In addition, we use advertising and analytics cookies on our marketing website to understand how visitors find and use our site, measure advertising effectiveness, and show relevant ads to previous visitors (retargeting). Our current or planned advertising and analytics partners are:

We may add or change advertising partners over time; this list reflects currently active or planned integrations.

What this tracking does: Measures which ads lead visitors to our site; helps us understand how visitors navigate our pages; allows advertising platforms to optimize ad delivery; enables retargeting.

What this tracking does NOT do: It does not access your PGS AI conversations, memory data, or Memory Chip content. Advertising cookies are deployed on our marketing pages, not inside the PGS AI application or the Memory Chip Forge tool.

Your choices: Most browsers allow you to block or delete cookies in settings. You can opt out of personalized advertising through Your Ad Choices or the NAI Opt-Out. California residents: see Section 8 regarding "sharing" and how to opt out.

2. How We Use Information

We use the information described above to:

  • Provide, maintain, and improve the Services, including PGS AI's cross-session memory and personalization features.

  • Process payments and manage subscriptions.

  • Respond to inquiries, support requests, and reports.

  • Protect the safety and integrity of the Services, including reviewing conversations in the limited circumstances described in Section 3, enforcing our Terms of Service and Community Guidelines, and preventing fraud and abuse.

  • Comply with legal obligations, including sanctions, export-control, and regional-availability requirements (verified via signals such as IP address and billing country).

  • Measure and improve our marketing (website advertising analytics only).

  • Send service communications, and marketing communications only where you have opted in.

What we do not do: We do not sell personal information. We do not sell or license user conversation content in any form. We do not use PGS AI conversation content to train AI models.

3. Human Review of PGS AI Conversations

Your conversations are private by default. Authorized Phoenix Grove personnel may review conversation content only in these circumstances:

  • Safety-system triggers: When automated safety systems flag content indicating a potential violation of our Prohibited Uses (such as child-safety violations, which we are legally required to report) or an imminent-harm situation.

  • Your requests: When you submit a support request or a "Report a Concern" report that requires reviewing the relevant conversation to resolve.

  • Legal requirements: When required by valid legal process, or where we determine in good faith that review and disclosure are necessary to prevent imminent harm.

  • Service integrity: When necessary to investigate fraud, abuse, or security incidents affecting the Service.

Review access is limited to personnel who need it for these purposes.

4. Service Providers (Subprocessors)

We use a small number of third-party providers to operate the Services. They process data on our behalf under contractual protections and their own security programs:

  • Hosting and application infrastructure: Cloudflare (network security, content delivery, edge compute) and Supabase (database and authentication).

  • AI model inference: Third-party GPU inference providers configured for zero-retention processing — prompts and outputs are processed to generate responses and are not retained by the inference provider for training or other purposes.

  • Payments: Stripe and Squarespace (billing and payment processing).

  • Website platform: Cloudflare (App Deployment), Squarespace (marketing website hosting and contact forms).

  • Email: Our email service providers, for support correspondence.

We will update this list as our infrastructure evolves. Advertising partners are listed separately in Section 1.6 because they act as independent businesses rather than processors acting solely on our instructions.

Content is designated high-risk on a case-by-case basis by our automated safety systems together with authorized personnel, based on the severity of the potential violation or harm — for example, content implicating our Prohibited Uses such as child-safety violations, credible threats of serious physical harm, or attempted attacks on the Service. This retention exists so we can meet legal reporting obligations, cooperate with lawful process, and protect the Service and its users against repeat abuse. Safety-flag retention applies to the flagged content and directly relevant context, not to your account's conversation history generally, and this data is subject to the same restricted access described in Section 3.

6. Data Security

We use industry-standard technical and organizational safeguards to protect the data we hold, including encryption in transit, access controls, and separation of systems (for example, UBHL submissions are stored separately from account systems, and the Memory Chip Forge is architected so conversation data never reaches our servers at all).

That said, no method of electronic transmission or storage is completely secure, and we cannot guarantee absolute security. We maintain a written information security program consistent with the Massachusetts data-security regulations (201 CMR 17.00). In the event of a security breach affecting personal information, we will notify affected individuals and regulators as required by applicable law, including Massachusetts General Laws Chapter 93H and the breach-notification laws of other applicable states.

7. Your Rights — All Users

Regardless of where you live, you may:

  • Access: Request a copy of the personal information we hold about you.

  • Correct: Ask us to fix inaccurate information.

  • Delete: Request deletion of your account and associated data. PGS AI users can also delete individual conversations in-app.

  • Export: Request your data in a portable format. (For conversations, Memory Chip Forge exists precisely to give you portable ownership of your AI conversation history.)

  • Opt out of marketing: Unsubscribe at any time via the link in any marketing email.

To exercise any of these rights, email architect@pgsgroveinternal.com. We will respond within 30 days. We may need to verify your identity before fulfilling a request, and we may retain certain data where required by law (for example, transaction records, or safety-related data we are legally obligated to preserve).

8. California Residents (CCPA/CPRA)

Categories collected: Identifiers (name, email); commercial information (subscription and transaction records); internet activity (pages viewed, feature usage); inferences (content preferences based on pages visited); and, for PGS AI users, the contents of your communications with the Service. Sources: directly from you and automatically from your browser or device. Purposes: as described in Section 2.

Sale: We do not sell personal information.

Sharing: California law treats the disclosure of information to advertising platforms for cross-context behavioral advertising (such as the retargeting cookies described in Section 1.6) as "sharing." You have the right to opt out of sharing. To do so, use the cookie and ad-preference opt-outs in Section 1.6 or email architect@pgsgroveinternal.com with the subject "Do Not Sell or Share." We do not share PGS AI conversation content with advertising platforms under any circumstances.

Other CCPA rights: Right to know, right to delete, right to correct, right to limit use of sensitive personal information, and right to non-discrimination for exercising your privacy rights. Exercise these via architect@pgsgroveinternal.com.

9. European Residents (GDPR) and Regional Availability

PGS AI is not offered in the EEA, the United Kingdom, or Switzerland, and accounts may not be created from those regions. The current list of restricted regions is maintained in Section 2.3.10 of our Terms of Service.

Our marketing website and contact form remain accessible worldwide. For visitors in the EEA/UK, our legal bases for processing are consent (contact form submissions and optional communications) and legitimate interest (basic analytics and site security). EEA/UK visitors have the rights of access, rectification, erasure, restriction, portability, objection, and withdrawal of consent, and the right to lodge a complaint with your local supervisory authority. 10. International Data Transfers

Data is processed in the United States. Where we receive personal data from other jurisdictions, we apply appropriate safeguards, including standard contractual clauses where required.

11. Children's Privacy

Our Services are restricted to adults and are not directed to anyone under 18 years of age. We do not knowingly collect data from anyone under 18. If we learn we have collected data from a minor, we will delete it promptly. If you believe a minor has provided us data, contact architect@pgsgroveinternal.com.

12. Third-Party Services

  • Patreon: User accounts and payments for Patreon-based support are handled by Patreon. See Patreon's Privacy Policy.

  • Third-party AI platforms: When you use Memory Chips or Seeds with third-party AI platforms (ChatGPT, Claude, Gemini, etc.), your interactions with those platforms are governed by their privacy policies, not ours. We have no access to your conversations on those platforms.

  • Links: Our website links to external sites we do not control. Review their policies before providing them information.

13. Funding Our Mission

To keep Phoenix Grove Systems™ accessible while funding our work on ethical AI development, we use paid subscription.

14. Changes to This Policy

We will update this policy as needed and note the revision date and a changelog at the top. Significant changes will be announced on our site, and material changes affecting PGS AI users will also be communicated through the Service or by email.
