United Bias Healing Library (UBHL) Submissions
When you choose to share a story via the United Bias Healing Library, we collect only the information you directly submit in the form. This may include personal experiences with bias, reflection on identity, and other narrative content.
We do not collect your name, email, IP address, or any identifying metadata through the submission process. We actively encourage users to protect their privacy, including recommending the use of tools such as Proton VPN.
Submissions are stored separately from account login systems and anonymized before they are reviewed, filtered, or aggregated for analysis.
By submitting a story, you agree that your words may be:
Reviewed by human and AI systems to ensure safety and integrity
Used to generate anonymized insights or examples for ethical AI development
Included in public reports or training datasets
Used in the future for educational, research, or commercial purposes in aggregated and anonymized form only
Raw stories will never be sold or shared in an identifiable format. Submissions are stored in compliance with our highest data protection standards and are excluded from standard contact or analytics systems.
Sage Root Email Correspondence
We collect any information you submit to sage@pgsgrove.com, including:

Retention & Usage:
Messages are stored indefinitely in Sage Root's memory unless you request deletion. Deletion will require: a copy of the full email, date at time sent. This is needed so we can track down you exact interaction in Sage's memory.
We do not sell or share these messages for marketing or advertising purposes.

2. PGS AI Privacy Practices
This Section describes how Phoenix Grove Systems collects, uses, shares, and protects information in connection with PGS AI, our experimental AI cognition workspace and collaboration platform. It supplements and, where applicable, modifies the rest of this Privacy Policy with respect to PGS AI specifically. In the event of any conflict between this Section and other parts of this Privacy Policy as applied to PGS AI, this Section controls.
Use of PGS AI is also subject to our Terms of Service, including Section 2.3 (PGS AI), and the PGS AI Community Guidelines. Together, those documents and this Section describe the framework that governs your use of PGS AI.
2.1 Scope
This Section applies to information we collect from or about you when you create a PGS AI account, access or use the PGS AI Service, communicate with PGS AI configurations, submit reports through the Service, or otherwise interact with the Service. It does not apply to other Phoenix Grove Systems Services, which are addressed elsewhere in this Privacy Policy.
2.2 Information We Collect Through PGS AI
We collect the following categories of information in connection with PGS AI:
Account information. Information you provide when creating and maintaining a PGS AI account, including email address, password (stored as a hashed value), display name, and account preferences.
Conversation content. The content of your interactions with PGS AI configurations, including messages you send, responses generated by the Service, files you upload (if applicable), and metadata such as timestamps and the configuration with which you are interacting.
Payment information. Payment is processed through our third-party payment processor (Stripe). We do not store full payment card numbers. We receive limited information from the processor, including transaction status, billing country, last four digits of the card, and card funding type.
Age and identity verification signals. Information used to confirm that you meet the age requirement for PGS AI, including signals derived from payment, device, behavioral, and (where escalation is required) third-party identity-verification services.
Device and technical information. Information about the device and connection used to access the Service, including IP address, approximate location derived from IP, browser type and version, operating system, language, and device identifiers used for security and abuse-prevention purposes.
Usage and analytics information. Information about how you use the Service, including session duration, features used, error and performance data, and aggregated interaction patterns. This information is used to operate, secure, and improve the Service and is not used to train AI models.
Reports and support communications. Information you provide when you submit a report through the in-Service "Report a Concern" function or contact us for support, including the content of your report and any context the Service is configured to capture for review purposes.
2.3 How We Use This Information
We use the information described above for the following purposes:
To provide the Service. To authenticate your account, deliver responses, maintain conversation continuity across sessions, process payments, and otherwise operate the Service as you would expect.
To operate safety systems. To detect, prevent, investigate, and respond to violations of our Terms of Service, Community Guidelines, and applicable law, including the operation of automated safety systems and human review (see Section 2.4 below).
To verify eligibility. To confirm that users meet the age requirement for the Service and to detect attempts to circumvent eligibility requirements.
To manage accounts and billing. To create and maintain your account, communicate with you about your subscription, process payments, send transactional notices, and respond to your support requests.
To secure the Service. To protect the Service and our users from fraud, abuse, security threats, and misuse, including by analyzing aggregated usage and threat patterns.
To comply with law. To comply with applicable legal obligations, respond to lawful requests from public authorities, enforce our agreements, and protect the rights, property, or safety of Phoenix Grove Systems, our users, or others.
To improve the Service. To analyze how the Service is used in aggregate, identify and resolve issues, and improve features. As stated below, this does not include using your conversation content to train AI models.
2.3.1 We Do Not Use Your Conversation Content to Train AI Models
Phoenix Grove Systems does not use the content of your conversations with PGS AI to train, fine-tune, or evaluate AI models, our own or those of any third party. This is a deliberate design choice and a core privacy commitment of the Service. It applies regardless of the AI configuration you are using.
Aggregated, de-identified information about how the Service is used (for example, error rates, aggregate response times, feature engagement) may be used to operate, secure, and improve the Service. This aggregated information does not include the content of your conversations and is not used to train AI models.
2.4 Human Review of Conversations
PGS AI uses automated safety systems to identify content and behavior that may violate our Terms of Service, Community Guidelines, or applicable law. In the following circumstances, authorized human reviewers at Phoenix Grove Systems may access and review conversations associated with your account:
When automated safety systems identify content or behavior that requires human review.
When you submit a report through the in-Service "Report a Concern" function.
When you contact support for assistance that requires us to examine your conversation context.
When we have a good-faith belief that review is necessary to investigate suspected violations, prevent imminent harm, ensure the security of the Service, or comply with legal obligations.
Human reviewers are authorized personnel of Phoenix Grove Systems, are bound by confidentiality obligations, and access conversation content only for the limited purposes described above. Access to conversation content outside of these circumstances is restricted by technical and administrative controls.
The fact that a conversation may be reviewed by humans under these conditions is an important reason not to share information through the Service that you would not be comfortable having a human authorized employee read in connection with safety operations.
2.5 Service Providers and Subprocessors
We share information with the following categories of service providers and subprocessors, each of which processes information on our behalf and is bound by appropriate contractual protections:
Infrastructure providers. We use Cloudflare, Inc. for content delivery, security, and edge-network services, and Supabase, Inc. for database, authentication, and related infrastructure. These providers process information on our instructions to operate the Service.
Payment processor. We use Stripe, Inc. to process payments. Information you provide for payment purposes is handled directly by Stripe under its own terms and privacy policy. We receive limited information from Stripe as described in Section 2.2.
AI infrastructure partners. We work with specialized third-party providers that host the AI models powering PGS AI configurations. Conversation content is transmitted to these providers transiently, for the sole purpose of generating a response, and is not retained on disk by the provider in the ordinary course of inference operations — except for limited metadata (such as request identifiers, processing costs, and inference parameters) used for billing, debugging, and security purposes. Conversation content is not used by these providers to train AI models. These providers are bound by contractual terms that restrict their use of conversation content to delivering the Service.
Identity-verification providers. Where age or identity verification escalation is required, we may use third-party identity-verification services. These providers process limited information for the purpose of verification and return a result to us; we do not retain underlying verification documents.
Communications providers. We use email and other communications providers to send transactional notices and support communications.
Analytics and monitoring. We may use providers that help us monitor Service performance, security, and reliability. These providers process technical and aggregated information.
We do not sell your personal information. We do not share your personal information with third parties for their own marketing purposes.
We may also disclose information where required by law, in response to valid legal process, to protect the rights, property, or safety of Phoenix Grove Systems or others, or in connection with a corporate transaction such as a merger, acquisition, or sale of assets, in which case the recipient will be bound by privacy commitments at least as protective as those described in this Privacy Policy.
2.6 How Long We Keep Information
We retain information for as long as is reasonably necessary for the purposes described in this Privacy Policy, subject to the following general practices:
Account information. Retained while your account is active and for a reasonable period thereafter to address support, billing, and legal requirements.
Conversation content. Retained while your account is active to support continuity across sessions and to allow safety review where applicable. Following account closure, conversation content is deleted within a defined wind-down period, except where retention is required by law, is necessary to address an open investigation or dispute, or has been preserved under a legal hold.
Safety and abuse-prevention records. Records related to safety reviews, enforcement actions, and abuse prevention may be retained for longer periods to support the integrity and security of the Service and to prevent re-creation of accounts by users who have been removed for serious violations.
Payment and tax records. Retained for the periods required by applicable financial, tax, and accounting laws.
Backups. Information may persist in backups for a limited period after deletion from active systems, on a rolling cycle, after which it is overwritten.
Specific retention periods may vary based on the nature of the information, the purposes for which it is processed, and applicable legal requirements. You may close your account at any time through the Service, and you may exercise other rights as described in Section 2.7.
2.7 Your Privacy Rights
Subject to applicable law and the limitations described below, you may have the following rights with respect to information we hold about you in connection with PGS AI:
Access. Request information about whether we hold personal information about you and obtain a copy of that information.
Correction. Request that we correct inaccurate or incomplete personal information.
Deletion. Request that we delete personal information about you, subject to limitations described below.
Portability. Request a copy of certain personal information in a portable format.
Objection or restriction. Object to, or request restriction of, certain processing of your personal information.
Withdraw consent. Where processing is based on consent, withdraw that consent at any time. Withdrawal does not affect the lawfulness of processing carried out before withdrawal.
These rights are not absolute. We may decline to act on a request where applicable law permits or requires us to do so, including where action would compromise the rights of others, the security of the Service, an active investigation, or our ability to comply with legal obligations.
2.7.1 California Residents
If you are a California resident, you may have additional rights under the California Consumer Privacy Act, as amended (the "CCPA"), including the rights to know, delete, correct, and limit the use of certain sensitive personal information, and the right not to be discriminated against for exercising your rights.
We do not sell personal information, and we do not share personal information for cross-context behavioral advertising as those terms are defined under the CCPA. To exercise your CCPA rights, please contact us at the address in Section 2.12.
2.7.2 European Economic Area, United Kingdom, and Switzerland
PGS AI is not currently available in the European Economic Area, the United Kingdom, or Switzerland. See Section 2.9 for the full list of regions in which the Service is not available. If the Service becomes available in these regions in the future, individuals located there will have the rights described in Section 2.7 under applicable data protection law (including the General Data Protection Regulation, the UK GDPR, and the Swiss Federal Act on Data Protection), including the right to lodge a complaint with their local data protection supervisory authority.
Our legal bases for processing personal information of individuals in these regions, if and when the Service becomes available there, will include:
Performance of our contract with you (to provide the Service you have requested).
Our legitimate interests (to operate, secure, and improve the Service, prevent abuse, and protect users), provided those interests are not overridden by your rights and freedoms.
Compliance with legal obligations to which we are subject.
Your consent, where applicable, which you may withdraw at any time.2.7.3 How to Exercise Your Rights

We may need to verify your identity before fulfilling your request, and we may decline requests that are repetitive, manifestly unfounded, or excessive, as permitted by law.
2.8 International Data Transfers
Phoenix Grove Systems is based in the United States, and information we collect is processed in the United States and other countries where we and our service providers operate. These countries may have data protection laws that differ from those of the country in which you reside.
Where personal information is transferred from the European Economic Area, the United Kingdom, or Switzerland to a country that has not received an adequacy decision, we rely on appropriate safeguards permitted by applicable law, such as standard contractual clauses, where required.
2.9 Service Availability by Region
PGS AI is not available in all regions. We may restrict or suspend access to the Service from particular geographic locations at our discretion. Where access is restricted, we may collect limited information (including IP address, billing country, and other technical signals) for the purpose of determining whether access is permitted from your location.
2.9.1 Restricted Regions
PGS AI is not currently available to users located in, residing in, or accessing the Service from the following regions:
The European Economic Area (EEA): Austria, Belgium, Bulgaria, Croatia, Cyprus, Czech Republic, Denmark, Estonia, Finland, France, Germany, Greece, Hungary, Iceland, Ireland, Italy, Latvia, Liechtenstein, Lithuania, Luxembourg, Malta, Netherlands, Norway, Poland, Portugal, Romania, Slovakia, Slovenia, Spain, and Sweden.
The United Kingdom.
Switzerland.
The State of Tennessee, United States.
2.9.2 Information Collected for Region Determination
To enforce these geographic restrictions, we process the following limited information at the point of account creation and at sign-in:
IP address and IP-derived approximate location.
Billing country reported by our payment processor.
Browser and device locale signals.
Other technical signals reasonably necessary to detect circumvention (e.g., VPN/proxy indicators).
This information is used solely to determine eligibility, prevent prohibited access, and protect the integrity of the Service. It is retained only as long as necessary for these purposes and for related security and abuse-prevention records as described in Section 2.6.
2.9.3 Users in Restricted Regions
If you are located in a Restricted Region, you should not create a PGS AI account or attempt to use the Service. If you have questions about whether this applies to you, or if you believe an account has been created in violation of these restrictions, please contact us at architect@pgsgroveinternal.com.
The list of Restricted Regions may be updated from time to time. The current list is maintained in this Section and in Section 2.3.10.1 of our Terms of Service.2.10 Security
We implement administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, disclosure, alteration, and destruction. These safeguards include access controls, encryption in transit, restricted internal access, and ongoing monitoring.
No system is perfectly secure, however, and we cannot guarantee the security of information transmitted to or stored by the Service. You are responsible for maintaining the confidentiality of your account credentials and for promptly notifying us of any unauthorized use of your account at support@pgsgroveinternal.com.
2.11 Children's Privacy
PGS AI is restricted to adults. We do not knowingly collect personal information from anyone under 18 years of age, or under the age of majority in their jurisdiction, whichever is greater. If we become aware that we have collected personal information from a person who does not meet this requirement, we will take reasonable steps to delete that information and close the associated account.
If you believe a person who does not meet the age requirement has provided personal information to us through PGS AI, please contact us at architect@pgsgroveinternal.com so that we can take appropriate action.
